REFERENCING

Once a viewing has taken place and an applicant is interested in proceeding, then the next step is the completion of an application form.  This starts incurring expense to the applicant and is itself an indication of their           commitment to your property.  Upon completion of the form this is faxed away to a Credit Referencing Agency, here the information provided on the form is verified, employers will be spoken to, character references and          financial     references will be checked  and a comprehensive credit check will be carried out.  The result of all this will be a credit rating, usually provided in 3 classes for which only the best is acceptable to ourselves and our   landlords.  In  addition our many years of experience in this business assist in making our final decisions.           Assuming a satisfactory  report then the next step is to arrange for the tenants to move in.

PAPERWORK

Once the move in dates are organised, the next step is to provide all the necessary paperwork to continue the transaction.  The tenancy document is a very detailed document covering all the legal notices required, the terms and conditions of the letting, and special conditions.  In addition we will prepare a detailed inventory/ schedule of condition of the contents.  Future rents will be paid by standing order and again this we will organise at the time of check in.  At the appointed time of move in, we will meet the new tenants, we will sign paperwork on behalf of the landlord, meters will be read and payment of the first months rent and security bond accepted.  We will        explain to the tenant the operation of boilers, heating systems, alarm controls etc, and organise for the legal        requirements of the Gas Safety Certificates and any other items required.  We will organise final meter readings and accounts and arrange for the Utilities to be transferred into the name of the ingoing tenant.

ACCOUNTING

Rents paid by tenants are paid by standing order. The due rent date being the day of the month they moved in, unless otherwise by agreement, (sometimes first of a month to coincide with salary day).  Upon receipt of these monies we arrange a bank transfer to the landlords nominated account and will send a statement showing income and any expenditure in the post.  Our computerised system allows for the minimum delay in transfer of funds but it is advisable for all landlords to maintain some extra funds in the nominated account should mortgage payments or repairs be required.  Bank holidays and weekends can contribute to a slight extra delay.
